Construction company Lapti develops project work and information management in a Microsoft 365 environment

Construction company Lapti is a nationwide builder that constructs homes, commercial properties, daycare centers, care homes, schools, and hospitals across Finland. The company is part of the more than 100-year-old Harjavalta Group and employs around 400 construction professionals. In 2025, Lapti’s revenue was €260.4 million.

Lapti has built more than 9,500 homes, over 100 care and assisted living facilities, daycare facilities for more than 10,000 children, and schools for over 5,000 students across Finland. With around 30 construction sites active at the same time, project work requires efficient collaboration and reliable access to information.

To improve project information management and collaboration, Lapti launched a major Microsoft 365 development initiative together with Solu Digital.

From network drives to unified project work

For years, project information management at Lapti relied on traditional network drives and file servers. As the business grew, fragmented information, inconsistent ways of working, and project documentation challenges became increasingly difficult to manage.

Over time, project information management and day-to-day work practices had become fragmented across different projects and business units.

“We wanted to standardize the information management model especially for project documentation and create a clear process for how project workspaces are created and how project information is centralized into one place,” says Mika Virsunen, CIO of Lapti.

Hybrid and remote work had already been part of everyday operations at Lapti for several years. The company wanted to further develop project work practices to better support distributed collaboration.

Teams became the center of project work

Microsoft 365 had already been in use at Lapti, but Teams had not yet been widely utilized in project work. The company wanted to build its new way of working on top of the existing Microsoft environment without introducing separate systems.

“The tools were already familiar to people. There was no need to learn a completely separate system, and no significant new licensing costs were created,” Mika says.

As part of the transformation, Teams and SharePoint became the central platforms for project work. With the Solu 365 solution, Lapti standardized project workspace structures, permissions, and information management practices across the organization.

Standardized project workspaces and folder structures improve information findability and reduce fragmented ways of working in everyday project work. At the same time, project communication was moved from email to Teams.

Solu 365 automation brought consistency to project work

Solu 365 automates the creation of project workspaces within the Microsoft 365 environment. At the same time, project permissions, folder structures, project resources, and information management practices were standardized across the organization.

Project-related tools, resources, and structures are automatically provisioned at the beginning of each project.

The goal was to support scalable project work and secure information management.

Automation reduces manual work during project setup and saves time, especially when multiple projects are running simultaneously. Project workspaces, permissions, and other project resources are provisioned in a controlled way from the start of the project.

Document management supports project work

To support project document management, Lapti introduced a document template application that enables the organization to create project documents using shared document templates.

Document structures and metadata remain consistent across different projects and business units, making project documentation easier to manage while reducing manual errors.

In addition, the document archive was integrated into the Microsoft 365 environment, allowing finalized project documents to be transferred into long-term storage in a controlled manner.

Lapti wanted to ensure that project information management would remain consistent regardless of the project or business unit.

Project information management became easier

The implementation is still ongoing, but the first benefits are already visible in day-to-day project work.

Lapti also wanted to reduce fragmented document versions and improve version control in project work.

The cloud-based Teams and SharePoint environment enables document version control and co-authoring, reducing the number of duplicate document copies created during project work.

“We have paid a lot of attention to version control in this solution and believe it will help us reach a much better situation,” Mika says.

Developing skills supported the transformation of project work

Employee training and guidance played an important role throughout the implementation.

“We have invested heavily in training and provided employees with support in using these tools. Ensuring competence is at the core of everything,” Mika summarizes.

The organization also recognized that employees’ readiness for new ways of working varied significantly.

“Some employees already had strong capabilities for using these kinds of tools, while others were only beginning to learn them at this stage.”

At Lapti, it was recognized that technology supports project work best when ways of working are clear across the organization. Real benefits are achieved only when new tools and working methods become part of everyday work.

Long-term collaboration created a strong foundation for the project

The development initiative required both technical expertise and an understanding of the practical realities of project work and information management.

“We had already completed previous projects together, so we knew what kind of expertise Solu brings and how they work.”

Virsunen especially values the proactive approach, practical collaboration, and smooth communication throughout the project.

“Schedules were kept on track and costs stayed within the agreed framework. Communication and collaboration worked well throughout the entire project.”
